As a vendor, you'll have the opportunity to showcase your products, services, or organization to a large and engaged audience while being part of a beloved Downtown Statesville tradition.

PumpkinFest welcomes a diverse mix of artisans, makers, retailers, nonprofits, and specialty vendors, creating a vibrant marketplace that attracts visitors from across the region. With approximately 19,000 attendees in 2025, the festival offers exceptional visibility and valuable opportunities to connect directly with potential customers.

Vendor space is limited and applications are reviewed to ensure a high-quality experience for attendees. We encourage interested vendors to apply early and secure their place at this signature Downtown Statesville event.

Administrative Fee

A 3.78% administrative fee will be applied to all credit card payments.

Electric Rate Per Outlet

  • Outlets are 20 AMP/120-volt
  • If you require 30/50 AMPs, you will need to provide your own adapter
  • Electric $10 Per 20 AMP/120-volt outlet

Warning! Our power capacity is limited. Anyone who plugs into an outlet without authorization, risks shutting down power to those vendors who have paid for power.

Vendors Provide

  • We recommend 10 ft. x 10 ft. tents be used. Vendors are required to provide their own 10 x 10 tents, tables, chairs, booth decor, set-up, breakdown, trash bags, supplies, anchors, ropes, clips, fasteners, etc. needed for their set up and to ensure their booth is safe.
  • Vendors purchasing electricity will need to provide a 100-ft. outdoor rated power cord.
  • Vendors needing water will need to provide their own jugs/buckets.

Gray Water

There is not a dump station within Downtown Statesville for gray water. Vendors caught dumping gray water will not be invited back to Pumpkin Fest and may be asked to leave.

Water

Water is not provided within the festival footprint. Limited and reasonable amounts of water may be obtained from the Statesville Event Center's back loading dock via the outdoor faucet. Water availability is subject to any water restrictions imposed by the City of Statesville. Check the City of Statesville's website for information on water restrictions that may be in effect.

Safety

Open-flame heaters, candles, outside free-standing grills, and electric heaters are not allowed.

Generators

  • We strongly recommend vendors purchase electricity to power their equipment. Doing so provides a quieter, cleaner festival experience.
  • Only inverted generators that operate below 68 dB are allowed.
  • Whether attached to your unit or not, your generator size should be included in your booth size and should never encroach, impede, or interfere with neighboring booths.

Food License and Permits

  • Food vendors are required to include a copy of their food permit/license with this application via the upload link below.
  • A current Iredell County Health permit per Iredell County Environmental Health requirements must be displayed in a prominent location on your truck, trailer, or tent during the festival.
  • Food vendors should contact Iredell County Environmental Health Department directly to obtain permit requirements, information, and to apply for permit/license.

Vendor Set-Up/Break-Down Schedule

  • 6:00 AM - Vendor trucks and trailers 24+ feet in length invited to begin set-up
  • 7:00 AM - All other vendors invited to begin set-up
  • 8:30 AM - Set-up window for all vendors closes
  • 9:00 AM - All vendor vehicles MUST be out of the festival area
  • NO vendors are allowed to bring vehicles into the festival area or begin breaking down their set-up until after the festival has ended at 6:00 PM.
  • Specifics regarding vendor parking, vendor entry/exit points, and other details will be shared in the Vendor Acceptance Package only to those vendors that are invited to participate.
  • We strongly recommend vendors have more than one person to assist with set-up/break-down and to assist with the vendor’s booth operation throughout the festival. The festival is extremely busy throughout the day: Having help means a smoother operation for everyone.

Vendor Selection

ONLY selected vendors will receive an emailed invitation and invoice. Payment is due upon receipt, but not later than 72 hours after date of invoice. Vendors that have not submitted payment within 72 hours of the date of invoice will be disqualified and removed from the selected vendor list (no exceptions).

Required Documents

  1. Certificate of Insurance (COI): All vendor applicants selling food, beverages, or using electrical equipment are required to provide a COI proving a minimum of $1,000,000 general liability insurance.
    • COI made out to: Downtown Statesville Development Corporation P.O. Box 205, Statesville NC 28687.
    • COI names additional insured: the City of Statesville 227 S. Center Street, Statesville, NC 28677 and Greater Statesville Chamber of Commerce 116 N. Center Street, Statesville NC.
  2. Picture of Set-Up
  3. Copy of Business License.
  4. Food Vendor Menu Planned for sale at Pumpkin Fest. If accepted, food vendors must abide by the menu submitted - no exceptions.
  5. Nonprofit Internal Revenue Verification Letter. Nonprofits that do not include this information will be disqualified.

Note regarding Food Vendors Environmental Health Permits:

If selected, Food vendors that are required by Iredell County Environmental Health to obtain a food permit MUST send a copy of their food permit as soon as possible after being selected to participate in Pumpkin Fest. You will need to contact Iredell County Environmental Health directly to find out if your food booth is required to obtain a permit (see Food License and Permits above).

Failure to provide complete information and documents as requested may disqualify your request from consideration for participation in 2026 Pumpkin Fest.
